We are looking for an experienced, detail-oriented, and organized Administrative Assistants to support a portfolio manager in a fast-paced work environment.
The position is located at Riverwoods and/or Riverhaven Riverhead, New York 11901.
Requirements:
Relieves the Property Manager of routine administrative duties Strong written and verbal communication skills including proper grammar, spelling, vocabulary, and punctuation Must be able to work independently to compose routine letters, notices, emails and other documents from notes or oral directions Ability to operate standard office equipment, including computer, copiers and fax machines Maintain digital and paper files, ensuring completeness and accuracy of all paperwork and documentation Skilled in maintaining computer database for data-entry, tracking and retrieval of information Proficiency in Microsoft Office applications (Word, Excel, Outlook, Publisher, PowerPoint) Ability to interact tactfully with residents, owners and vendors.
Ability to take direction and constructive criticism Exceptional time management, prioritization, and organizational skills Must be able to multi-task efficiently and effectively Customer service-oriented Ability to meet stringent deadlines Engage with our Marketing Advertisements to ensure that our online property listings are inviting and up to date.
Ensure that all reports, lease packages, market surveys, and other correspondence are filed correctly.
Tracking all phone and walk-in traffic by recording it into the system daily; prepare weekly traffic reports Assist applicants with application process and gather the supporting documentation Promote resident retention through completion of tasks in Resident Retention Plan; Planning, assisting with, and participating in community events for the residents Assist Management in establishing, promoting, and maintaining positive relations with the residents and with everyday operations of the property Assist in electronic/hard copy filing systems for all residents, invoices, purchase orders, vendors, and other files.
Perform other duties as assigned Required Knowledge, Skills, and Abilities Ability to present a positive professional image in appearance, demeanor, and dress Ability to communicate effectively Ability to work flexible hours as business needs dictate Must possess a valid driver's license and vehicle Requires weekend work and occasional evenings Strong attention to detail Commitment to excellence Ability to successfully multitask in a fast-paced environment Compensation:
